Transforming healthcare: How University Of Utah health ditched spreadsheets and gained 30 percent efficiency paid Smartsheet
As the region’s only academic healthcare system, University of Utah Health’s mission is to combine excellence in patient care, the latest medical research, and teaching for residents of Utah and five surrounding states.
“Our department really focuses on the culture” says Shannon Lingwall, training manager for revenue cycle support services. “And my team gets to help own that. We’re in charge of training about 330 employees in our department. We are also in charge of all of the onboarding and offboarding.” In addition to spreadsheets, projects were tracked on a poster board full of sticky notes. “When I first came on as manager of the project management team, I had a poster board with Post-its of all the projects that we were working on,” says Jensen. “I would move them through the phasing of a typical project cycle manually, by taking the Post-it off and putting it back on somewhere else.
“We use Smartsheet for way more than project management,” adds Willoughby. “Our training team uses it for onboarding and offboarding all of our staff. And that used to be not managed centrally, so now that’s added a lot of value to our department.” The team has also benefited from increased visibility since moving to Smartsheet. “We really love the dashboards as well,” says Willoughby. “One of the things that I have found so valuable is a dashboard that shows me, just at a glance, which project managers have bandwidth, which ones are overloaded — and that is a tool I’ve needed for years.”
